We are looking for someone that has energy and can be the spearhead of contact to any and all who reach out to our company.
The person we are seeking out is someone who loves to speak to people and has the skills to engage with customers over the phone.
Clients must feel your smile coming through the phone when speaking with you.
This person is responsible for all communication from new leads as well as current clients.
They will schedule the new leads with our sales team and help our current clients get on the calendar for their upcoming boarding needs and lessons.
Communication Specialist Job Description Purpose Our Communication Specialist will wow the client with enthusiasm, understanding, organization, and timely follow through, all while staying poised to represent the company.
You will be the 'face' of our company and ensure visitors and clients receive a heartwarming welcome.
You will also coordinate all front desk activities, including calls, reservations, and guest services.
You will combine a pleasant personality with a dynamic professional attitude to oversee and lead our front office team.
Our ideal candidate can deal efficiently with complaints and has a solid customer service approach.
You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations.
Multitasking and stress management skills are essential for this position.
This role may require working in shifts, so flexibility is a plus.
Responsibilities Ensure our front desk provides professional and friendly service to our customers Portray our mission and sell the experience of the SMS Orlando way Greet and welcome guests as soon as they arrive at the office Direct visitors and their pets to the appropriate person and office Provide internal team support and help them with administrative tasks, client appointments, etc.
Answer, screen, and forward incoming phone calls Ensure reception area is tidy and presentable, with all necessary stationery and material (e.
g.
pens, forms and brochures) Provide basic and accurate information in-person and via phone/email Receive, sort, and distribute daily mail/deliveries Keep inventory of stock and report to leadership when supplies are needed Manage all calendars being aware of needs Assist with events and creation department as needed Social Media Marketing posts Complete Daily Checklists Cleaning duties of front of the house and some common areas Requirements Proven work experience as a Receptionist, Front Office Representative, or similar role Proficiency in Microsoft Office Suite, Google Documents, Google Drive Hands-on experience with office equipment (e.
g.
computers and printers) Professional attitude and appearance Willing to self-evaluate, be open to and provide feedback, and work well with others in a fast-paced environment Excellent communication skills; must be able to speak and write coherently in English Ability to be resourceful and proactive when issues arise Skilled at identifying issues / problem solving and moving to resolution Excellent organizational skills, strong writing and record keeping ability Detail oriented Multitasking and time-management skills, with the ability to prioritize tasks Customer service attitude High school degree; additional certification in Office Management is a plus Must be able to lift 50 pounds and stand on feet for long periods of time If owns a dog, keeps personal dog up to par with demo dog etiquette Ability to work flexible shifts, including weekends, and adapt to changing work schedule Will be subject to random drug screening Job Type:
